Idaho National Laboratory’s (INL) Human Resources and Diversity group is seeking forward-thinking professionals interested in exploring a career as a HR Administrative Assistant! Our team works a hybrid 9x80 schedule located at our Willow Creek Facility with every other Friday off. The successful candidate will be required to come into the office 3 times a week as needed.
Responsibilities Include:
- Provide administrative support to three HR&D leadership team members (HR&D Compliance, Inclusion & Diversity, and Labor Relations) and their respective team.
- Manage travel requests and expense reports, calendar maintenance and scheduling, key records and documentation, office accommodations (equipment, furniture, space, supplies), requests for maintenance and service.
- Read, understand, interpret, and propose improvements to team deliverables so that the teams produce products with high impact.
- Proactively plan activities and initiatives, identify potential conflicts in schedules, procedures, processes, and resources. Voice these concerns and assist in finding resolutions.
- Support important meetings, trainings, and events by creating agendas and handouts, taking notes/minutes, providing recaps, following up on action items and pending decisions, and providing strategic guidance for initiatives which contain a significant administrative component.
- Model a high standard for maintaining records, documents, and files in accordance with all INL policies and procedures, particularly when it comes to the security of confidential and sensitive information.
- Support team interactions with key leaders and departments across the Laboratory, helping to ensure smooth, collaborative, and productive operations.
- Work Proficiently with all applicable software applications required for this position
- Identify process improvements, areas of opportunity, and recommended solutions.
- Manage submission processes for conferences, awards, and marketing.
- Manage purchase orders, subcontracts, receipts, monthly reconciliations, and vendor payments.
Minimum Requirements:
- High School Diploma plus 4 years relevant business experience OR Associate degree
- Energetic, passionate partner who can influence others without formal authority.
- Demonstrate experience collaborating with colleagues across various fields and connecting everyone to common objectives.
- Extensive experience with project management and MS Office (Outlook, Teams, Word, PowerPoint and Excel).
- Experience maintaining confidentiality and document security.
- Excellent interpersonal and verbal/written communication skills.
- Work effectively with multiple tasks, rapidly changing priorities, and with all levels of colleagues (from interns to executive leaders).
- Ability to travel throughout the INL Complex and must be able to provide support for events during off hours (early mornings, evenings, and weekends.)
Preferred Requirements:
- Knowledge of procurement, property management, sensitive document, and issues management processes.

- Salary Grade AS0300: 150 ($44,004 - $70,392)
